Section 1 General Provisions
1. These Provisions are formulated to regulate the roles and behaviors of the China Society for Image and Graphics (hereinafter referred to as "CSIG") and its affiliated institutions (Professional Committees, Working Committees) when organizing activities (including but not limited to academic conferences, forums, seminars, lectures, and exhibitions), clarify CSIG’s rights and obligations in such activities, ensure the proper use of CSIG’s name and logo, and protect and enhance CSIG’s brand value.
2. All activities sponsored or participated in by CSIG shall comply with relevant national laws and regulations.
3. These Provisions shall be binding on all activities organized by CSIG and all its affiliated institutions.
Section 2 Cooperation Modes for CSIG’s Organized or Participated Activities
CSIG may participate in activities in the modes of sponsorship, co-sponsorship, supporting sponsorship, or organization, as specified below:
1. Sponsorship: When CSIG acts as the sole sponsoring unit, it shall take the lead in the activity organization process and hold the ownership of the activity.
2. Co-sponsorship: When CSIG acts as one of the sponsoring units, it shall jointly lead the activity and share the ownership with other sponsoring units.
3. Supporting sponsorship: CSIG and its affiliated institutions shall assist the sponsoring unit(s) in organizing the activity.
4. Organization: Responsible for the specific implementation of the activity.
Section 3 Sponsorship
1. When CSIG acts as the sole sponsoring unit, it shall exercise control over the activity in the following aspects:
1) Brand and name: Standardize the use of the Society’s name, logo, and the activity’s name, which shall be prefixed with "CSIG" or "China Society for Image and Graphics" (e.g., "CSIG Image and Graphics China Tour").
2) Academic aspects (theme, content, organization format, speakers, etc.): Ensure an attractive theme and high-quality academic content.
3) Organizational structure: Establish a standardized organizational structure with clear responsibilities.
4) Finance: Ensure standardized and transparent financial management in accordance with the Society’s financial regulations.
5) Activity quality: Guarantee the high quality of the activity.
6) Promotion: Conduct extensive promotion among members and the general public.
7) Content copyright: The Society shall hold the copyright and share the content with members.
8) The number of registered participants shall not be less than 30, and all sponsorship funds shall be remitted to the Society’s account.
2. The activity shall contribute to the promotion of both the Society’s brand and the activity’s own brand, safeguard CSIG’s legitimate rights and interests, give priority to CSIG members in participation, and offer preferential registration fees in accordance with the Society’s regulations.
3. For all activities independently organized by CSIG Headquarters or its affiliated institutions, CSIG shall be the sponsoring unit, hold the ownership of the activity, and bear the academic, political, legal, and economic responsibilities arising therefrom.
Section 4 Co-Sponsorship
1. Under the principle of equality, co-sponsorship shall ensure the standardized use of CSIG’s brand and name (including CSIG’s name, logo, and event name), clarify the rights and obligations of all co-sponsors, specify financial revenue and expenditure, economic responsibilities and profit-sharing methods of each co-sponsor, and share the ownership of the event and the copyright of relevant content with other co-sponsors.
2. When CSIG or its affiliated institutions jointly organize an event with other institutions, CSIG shall be one of the co-sponsors. Other co-sponsors shall be national societies or institutions of equivalent status, and all co-sponsors shall enjoy equal rights and interests.
3. Priority and preferential registration fees shall be guaranteed for CSIG members to participate in the event.
4. CSIG must sign a cooperation agreement or memorandum with other co-sponsors covering the above contents, specifying the rights and obligations of all parties. All co-sponsors shall jointly be responsible for academic affairs, organizational structure, event quality, and promotion, and jointly bear academic, political, legal, and economic responsibilities. The cooperation agreement or memorandum shall specify the cooperation term.
Section 5 Supporting Sponsorship
1. Before acting as a supporting sponsor, CSIG shall verify the following items to safeguard its rights and interests:
1) Whether the event’s sponsoring unit is a cooperative partner of CSIG;
2) Whether the sponsoring unit meets the required visibility;
3) Whether the event has sufficient visibility or influence;
4) Whether the event contributes to CSIG’s brand promotion and is valuable to CSIG members;
5) Whether there are remaining event funds or profit-sharing arrangements.
2. When CSIG acts as a supporting sponsor, the sponsoring unit must commit to offering preferential registration fees for CSIG members.
3. CSIG must sign a cooperation agreement or memorandum with the sponsoring unit when serving as a supporting sponsor, clearly stating that the sponsoring unit shall bear all political, legal, and economic responsibilities, and CSIG shall not be liable thereof.
4. When an affiliated institution of CSIG acts as a supporting sponsor for an event organized by other sponsoring units, in addition to the conditions specified in Item 1 of this Section, it shall also consider whether the event is consistent with the institution’s positioning and business scope. Affiliated institutions of CSIG may directly sign a supporting sponsorship memorandum with the event organizer, but shall not sign formal agreements, and must submit the memorandum to the Society for review and filing.
5. This Section shall not apply when an affiliated institution of CSIG acts as the organizer and supporting sponsor for an event sponsored by CSIG.
Section 6 Relationship with Organizing Undertaker
1. The organizing undertaker is the implementing institution of the event.
2. The organizing undertaker shall be responsible for event promotion, logistics organization and services, financing and financial management, budget and final accounts, and event implementation reports.
3. CSIG or its authorized affiliated institutions shall publicly select the event’s organizing undertaker in accordance with specified criteria.
4. The organizing undertaker must carry out its work in accordance with CSIG’s relevant rules for event organization.
5. The organizing undertaker of an event sponsored by CSIG shall sign an undertaking agreement with CSIG and obtain CSIG’s authorization. If an affiliated institution of CSIG acts as the organizing undertaker for a CSIG-sponsored event, it must submit the relevant materials to the Society for review and filing.
Section 7 CSIG Brand Protection for Academic Activities
1. When CSIG sponsors or participates in activities, the organizer must correctly and mandatorily use CSIG’s full Chinese name (or English name and abbreviation) or CSIG’s logo (LOGO).
2. Except for CSIG’s affiliated institutions, any use of CSIG’s name (including English), abbreviation, or LOGO by other institutions without CSIG’s written authorization or a cooperation agreement shall be deemed an infringement of CSIG’s rights.
Section 8 Approval
1. Activities sponsored by CSIG Headquarters, and academic activities organized by Working Committees and Professional Committees shall be approved in accordance with the procedures specified in this Section. Other activities organized by affiliated institutions shall be submitted to Headquarters for approval and filing.
2. Applications for conferences and forums shall be submitted with application forms or filing documents at least one month before the event, in principle.
3. CSIG shall uniformly number all sponsored activities. The numbering rule is as follows:
The number consists of four segments: CSIG-YYYY-TYPE-NN. Among them: "CSIG" is a fixed prefix; YYYY is the four-digit year (e.g., 2018); Type indicates the category of CSIG’s affiliated institution organizing the activity; NN is the serial number (e.g., 01).
Type categories: HQ (Headquarters); TCXX (Professional Committee, where XX is the committee’s serial number); Ot (Others).
4. For activities sponsored by CSIG:
1) Headquarters activities (including Working Committees): Approved by CSIG’s Academic Conference and Exchange Committee.
2) Professional Committee activities: Serial academic activities or ad-hoc activities organized by Professional Committees shall be approved by CSIG’s Academic Conference and Exchange Committee.
3) Other non-academic activities: Submitted to Headquarters for review and filing.
5. The approval process for activities co-sponsored by CSIG and other institutions shall be the same as that for CSIG-sponsored activities.
6. For activities where CSIG acts as a supporting sponsor:
1) Supporting sponsorship by Headquarters: Approved by CSIG’s Academic Conference and Exchange Committee.
2) Supporting sponsorship by CSIG’s affiliated Working Committees or Professional Committees: Approved by CSIG’s Academic Conference and Exchange Committee.
3) Other non-academic supporting sponsorship activities: Submitted to Headquarters for review and filing.
7. Activities where CSIG acts as the organizing undertaker for other institutions shall be approved by the Secretariat.
8. Approval Cycle and Process
In principle, the entire process includes issuing calls for applications (for conferences, forums, etc.), submitting application forms, preliminary review, conference review/defense, notifying review results, undertaking the event, and conducting relevant settlements. For certain conferences (e.g., National Conference on Image and Graphics (NCIG), International Conference on Image and Graphics (ICIG)), if multiple institutions apply, CSIG’s Academic Conference and Exchange Committee shall organize a conference review. The approval shall be completed within one month in general, and the result shall be reported to the Standing Council.
Section 9 Supplementary Provisions
Any issues arising during the implementation of these Provisions shall be coordinated and resolved by the CSIG Secretariat.
